A two-day practice-oriented seminar on the topic “Effective Organization and Participation in Events” was held at Peter the Great St. Petersburg Polytechnic University. The seminar was attended by the university’s staff and students. The main goal of the scientific-practical intensive was to improve the qualifications of scientific-pedagogical and administrative personnel in the areas of strategic planning, administration, and optimization of the university’s event processes, engage students in real congress and exhibition practice, and implement modern analytical tools to assess the effectiveness of the event industry.
The lecturer was leading expert-practitioner and CEO of the exhibition consulting agency “ExpoEffect,” Nikolay Karasyov. At the seminar, attendees were introduced to advanced management technologies and verified practical solutions. The program’s methodological foundation was based on an in-depth analysis of case methods and real examples from international and domestic congress and exhibition practices, ensuring a purely practical nature of the training.
The first day of the seminar was dedicated to the organization of congress and exhibition events. During the lecture, they discussed the formation of the value of the congress and exhibition product, tactics and techniques for working with exhibitors, methods of attracting target visitors, as well as sales methods and techniques.
On the second day, attendees learned about the key aspects of effective participation in congress and exhibition events. That day, they covered how exhibitors can achieve maximum results at the exhibition, properly set participation goals, organize the exhibition booth, and assemble the exhibition team.
The educational process was organized in an interactive format, combining a high pace of information delivery, accessibility of presentation, and representative visual material.
The seminar program has been designed so that participants can systematize and complement their existing exhibition experience, conduct an objective audit of their own activities, and neutralize common professional mistakes and stereotypes. Our main task is to develop clear action algorithms for the attendees, necessary to achieve maximum practical results in organizing and conducting congress and exhibition events, Nikolay Karasyov noted.
The high importance of integrating such intensive programs into the academic environment was emphasized by the Academic Secretary of SPbPU, Associate Professor of the Higher School of Media Communications and Public Relations Dmitry Karpov: Conducting practice-oriented seminars of this level within a higher education institution serves as a strategic factor in the development of congress and exhibition activities. The university regularly becomes a platform for large-scale scientific and business forums, as well as actively participates in external exhibitions and other prestigious events. Acquiring advanced knowledge from leading industry experts will enable employees to significantly improve the quality of event organization, strengthen the university’s image as a major scientific and educational center, and optimize resources allocated for promoting university projects.
One of the seminar participants, Maria, a fourth-year student majoring in Advertising and Public Relations, had already worked in the congress and exhibition field and shared her impressions of the lectures she attended: “The seminar was very informative. I believe that for students of ‘Advertising and Public Relations,’ the topic of congress and exhibition activities is very important. Even if someone does not plan to connect their future professional activities with this field, it is very useful to learn how it all works from the inside, what goals and objectives are set.”
As a result of completing the program, the participants received a ready set of tools and innovative concepts for prompt implementation in the university’s current congress and exhibition activities. The most active participants became owners of the books “EXPOLOGY. How to effectively participate in exhibitions” and “Sales and Marketing in the Exhibition Business.”
